COPY POLICY & EQUIPMENT
The majority of photocopying, with some minor exceptions, is handled by the Law School
Copy Services Coordinator, Nicholas Curley (ncurley@suffolk.edu;
617-573-8725). The Copy Services Coordinator handles copying not only for the Law Faculty
and Support Services Department, but for all other administrative offices as well.
As a result, there are specific procedures in place to ensure that everyone’s work
is completed in a timely and efficient manner. Please take note of the following:
All requests submitted are performed on a 24-hour notice basis. Requests
may be completed prior to that time, but 24-hours’ is the standard turnaround time
for regular jobs.
If you anticipate a large job or a job that requires special services (i.e.,
bound copies, specialty paper, binder clips or other special supplies) please contact
the Copy Center as early as possible to discuss your needs as items may need to be
ordered to accommodate your request.
Very large jobs (i.e., 50+ copies of 50+ pages; 20+ bound copies,
etc.) require prolonged run time (min. 48 hours); book copying or
jobs that involve a number of hand placed originals also require a prolonged run time
(72+ hours, depending on length). Please give ample time for fulfillment of these types
of requests and check with Copy Services Coordinator for an estimated completion date/time
when submitting large/specialty jobs.
The Copy Center can provide the following services:
- Stapling [100 pages maximum for 30 copies or less. 70 pages maximum otherwise.]
- Double-stapling
- Tape-binding [Minimum 7 pages, maximum 125 pages (front and back covers
are included in this count)]
- 3-hole punch copies
- Please check with Copy Center with questions regarding additional services and/or
limitations.
Copy requests should be dropped off in either of the Copy Center’s drop-boxes located
in SGT-666 and in SGT-270D. You may also fax or e-mail your request to the Copy Services
Coordinator. Faxes should be sent to 617-305-1640. Please notify the Coordinator by
e-mail or phone if a request was submitted via fax as the machine is not located within
the Copy Center.
Documents submitted by email are accepted in Microsoft Word, WordPerfect, Excel, Publisher,
Microsoft Access, PowerPoint and Adobe Acrobat (PDF). If you have a question on whether
the equipment is able to retrieve/print a document that was created on software/programs
not listed, please contact the Copy Center.
Please complete a request form in its entirety for each individual
job. Please do not use "ASAP", "whenever" or other vague terms.
A specific date (and time, if applicable) is needed to ensure the most appropriate
prioritization.
Fax or e-mail requests must include all job requirements (# of copies
required, single or double-sided, stapled, double-stapled or tape bound, date and time
required, etc.).
Fax cover sheet must include all job requirements in body of email (#
of copies required, single or double-sided, stapled, double-stapled or tape bound,
date and time required, etc.). If you are not clear regarding your needs, there will
be a delay in service until we can reach you for clarification.
All jobs will be completed as double-sided copies unless otherwise specified.
*The Copy Center strictly adheres to Copyright rules and regulations.
Copyright laws prohibit the reproduction of entire books or other copyrighted materials.
Entire books cannot and will not be copied unless copyright
clearance is provided with the request. Requestor is responsible to contact necessary
parties to obtain any necessary clearance.
Copyright policy dictates that a single copy can be made
of any of the following by or for a professor/teacher at his/her individual request
for his/her scholarly research or use in teaching or preparation to teach a class:
- A chapter from a book
- An article from a periodical or newspaper
- A short story, short essay or short poem, whether or not from a collective work
- A chart, graph, diagram, drawing, cartoon or picture from a book, periodical or
newspaper

Originals submitted for copying purposes should be as copier-friendly as possible.
They should not have black borders, staples, or have frayed, folded or tattered pages.
This creates a problem for the equipment and results in downtime for the machines.
Originals which contain these or other gross defects will be returned to the requestor,
delaying the job until a new original is provided.
The Copy Center has a limited supply of colored paper and cover stock.
If your job requires specialty paper, please speak with Copy Services Coordinator to
ensure an adequate supply is ordered, or supply the specialty paper along with your
request. (Note: if your order requires specialty paper and you have not made arrangements,
or supplied the paper, the job will be delayed until the necessary supplies can be
ordered and delivered.)
The Copy Center delivers your completed request as a courtesy and
only as time permits. During busy periods (generally the week prior to the
start of each semester or during exam periods) you will be required to pickup completed
job(s). Please pick up these jobs promptly as there is limited storage space available
in SGT-666. If the job is too large for you to handle, you may submit a work request
to Facilities for delivery (facilities@suffolk.edu). You should discuss delivery/pickup
arrangements when you leave your request. If available, requestors may use
the copy center’s 2-wheeler to pickup completed jobs, however it must be returned promptly after
use.
The Copy Center has the capability of providing colored copies in 8½x11", 8 ½x14" and
11x17". Copies may be double-sided or stapled. (Tape binding and/or double-stapling
is not available for colored copies.) Original should be provided either by hard
copy (along with a completed copy request) or by email. Please check with Copy Services
Coordinator if electronic files were created by specialty software as the machine may
not be able to recognize/retrieve these files and hard copy may be required.
| Suite/Office Copiers ("Convenience Copiers") |
Convenience copiers are located in most administrative offices. They should be used
for running small jobs. Large jobs (i.e., jobs in excess
of 250 copied pages) should be sent to the Copy Center. (The Xerox contract
allows only a specified number of copies per machine per month. There is a charge for
each page over the monthly limit on each machine.)
*PLEASE NOTE: Some faculty supervise Research Assistants and/or Work Study Students.
These students are often asked to copy cases, articles and other items. Students
are required to submit their copy requests directly to the Copy Center or to the Faculty
Assistant in the given suite. Due to leasing restrictions, students
are not permitted to use the convenience copiers or other equipment in office/staff
workspace.
An outside vendor reproduces course packets and secures copyright releases. The Law
School Bookstore sells the packets to students.
Due to copyright and contract issues, we are not able to reproduce or copy
items considered "course packets." You should speak with Janine LaFauci,
Director of Support Services (Room 270C; 617-573-8131, or ext. 8131 internally; jlafauci@suffolk.edu)
with questions regarding packets or to determine whether a specific copy job would
be considered a packet.
Poster requests can be dropped off in the copy boxes located in SGT-666 and SGT-270D.
Your original must be 8 ½" x 11." (Black & white original should be provided on white paper.
Graphics print poorly on the poster-machine and should be avoided.) There is
a maximum of 2 posters per event allowed. Faculty should contact
their assistant to request mounting services and easels. There is a 24-hour turnaround
time for all poster requests. Black & white posters are available in 31" x 23" only.
The maximum size for color posters is 11"x17."

With regards to the potential for copyright infringement, the areas of primary concern
are photocopying of print materials, duplication of audiovisual materials and duplication
of computer software. The University is concerned with both the making of illegal copies
on University equipment and the use of illegally made copies at the University. Suffolk
University’s legal or insurance protection will not be extended to employees who violate
