Phone Directories

Support Services also publishes and distributes the annual Law School internal telephone directory. Copies of the directory can be requested in hard copy or PDF. Requests should be made by email to jlafauci@suffolk.edu.

The Human Resources office publishes the University telephone directory. This is available by hard copy only. Requests for copies of the University-wide directory can be made by calling ext. 8415.

Copies of the Yellow Pages can be requested by emailing jlafauci@suffolk.edu.


Telephone Service

Each employee is assigned a D-Term telephone with caller identification, speakerphone and conference calling (up to 3 parties) capability.

In general, phone lines have a main line (your extension) and a "virtual" line. If the main line is in use, a caller will be transferred automatically to the virtual line (and a red blinking light will appear on the 2nd gray button of your phone). If there is no answer on either the main line or virtual line after three rings, the caller will automatically be transferred to your voicemail. When you have a new voicemail message, a red light will appear on the top right side of the telephone. (See "Voicemail System," for information on retrieving messages).

The Telephone System

To Place an outside call: Dial 9 + area code and telephone number. Be sure to include a 1+ the area code when necessary.

To use Speakerphone: Make sure your speaker is activated by checking the red light under the up/down arrow on the bottom right side of the phone. If this light is not illuminated, press "Feature" + 1. To place call, press "Speaker" button; To adjust volume press either the up or down arrow while on the line Dial desired number; Press "Speaker" button to disconnect.

If you wish to transfer a caller from the handset to the speaker, press the Speaker button, then hang up the receiver.

To Transfer a call: With call in progress: Press "Transfer" button (caller is now on hold). Dial appropriate telephone number. Allow someone to answer, announce the caller being transferred. Hang up.

To use Conference Call feature: With call in progress: Press "Transfer" button; Dial second party, wait for them to answer, announce the conference; Press "Conf" button for three-way conference; Please note: Conference call feature allows only 3 parties to be on the line. If you must host a conference call of 4+ parties, please submit a request to Janine LaFauci, Director of Support Services, via email to jlafauci@suffolk.edu. Email must contain a brief description of the purpose of the call. This function is only available upon approval.

To place caller on Hold: With call in progress: Press "Hold" button, active line button will flash; Press flashing line button to release the hold feature and talk to the person (the line button is a small, round, clear button; the line button turns red and flashes intermittently while the party is holding).


Feature Buttons

REDIAL BUTTON: Your re-dial button holds the last 5 telephone numbers called in its memory. To call-back a number using this feature press "redial" until you see the number you wish to dial then press #.

RECALL BUTTON: This feature is used to disconnect a call and get new dial tone without hanging up the telephone.

ARROWS (UP/DOWN): Controls the brightness of your display window To turn up/down volume on your ringer, press the appropriate arrow while the phone is receiving a call To turn up/down volume on receiver, press the appropriate arrow while you are on the line

FEATURE 1: Microphone on/off (note: the microphone light should be lit (bottom right hand corner of telephone) in order to use the "speakerphone function")

FEATURE 3: Changes ringing type

VMAIL: Automatically set to speed dial ext. 3000

FWD ALL: Automatically set to speed dial command to "Forward" you line to another extension. (Note: to forward all your calls to voicemail, press the FWD ALL button, then the VMAIL button. The display window will read "Forward Set". To forward line to Faculty Assistant, press FWD ALL, then dial your assistant’s extension. Hang up when you hear tone.) (Note2: to cancel the Forward command, press your "FWD ALL" button again, the display window will read "Forward canceled")

BLANK GRAY BUTTONS: Can be set as your speed dials. To set your speed dials, press FEATURE button, then press the desired Speed Call button, enter the extension you wish to set to speed dial, then press Feature again to save the number. Your display window will read "Speed set."


The Voicemail System

Logging into your mailbox

Call the VMX system: dial ext. 3000 (or 617-305-3000 from outside phone). When the system answers, press #. Enter your mailbox number (last 4 digits of your telephone number)

Enter your security code. (To change your security code, please press "16" for Special Options and "2" for Security Code. Follow the voice instructions. *Note: Security codes must be at least 4 digits in length.

If you must have a password re-set, please email jlafauci@suffolk.edu with the extension number. Once reset (which generally takes 24–48 regular business hours, the new code will be 264-004 and the system will automatically prompt you to create a new password and record your name.)

Please note: The first time you log into the system, you should change your personal identification (your recorded name) which will identify you to other users, and your personal greeting.

Recording your Personal Greeting
  • Log onto your mailbox, then Press 4, then 6
  • Record your greeting and press # when done
  • To listen to your greeting, press "4, then 5"
  • To turn your greeting off, press "4, then 2"
  • To turn your greeting on, press "4, then 1"
  • To record a new greeting, press "4, then 6"
  • To record an extended absence greeting, press "4, then 7"
  • Press # to leave greeting unchanged
Recording your name/Personal Identification in Voicemail
  • Log onto your voicemail system then Press "#"
  • Press "16" for Special Options
  • Press "8" to "record your name for your mailbox"
Listening to your messages
  • Log onto your mailbox (see Step One);
  • Press "5" to listen to the oldest message first (Press "15" to listen to the newest (most recent) message first.

Please note, if you wish to keep a message marked as "new", simply press "5" to move onto the next message. If you wish to save the message, press "7" while listening or press "3" to delete a message.

Additional Voicemail Features (available while listening to messages):
  • 2 Backup - Reviews last (4) seconds of the message
  • 22 Backup to beginning; Reviews entire message
  • * Pause (Push * a second time to resume play)
  • 4 Go - Moves ahead (fast forwards) (4) seconds in the message
  • 3 Delete - Marks message to be erased
  • 6 Message - Make and send a message
  • 7 Save - Marks message to be saved
  • 8 Time - Plays the time/date the message was left
  • 18 Volume - Adjusts playback volume of the message
  • 5 Listen (next) - Listen to next message
  • 15 Listen (previous) - Listen to previous message
  • 13 Forward - Forwards the message to another mailbox
  • 14 Immediately Call
  • 17 Reply - Send a reply message
  • 16 Customizing Options:
    • -16, then 5, Personal assistant (sets the extension your telephone will forward to if caller dials "0" while listening to your message)
    • -16, then 2, to change your security code
    • 00 Lists all mailbox featured. For detailed instructions on each feature, press 0, then the function code (for example, for information about the personal greeting, press 0, then 4)
  • 9 Exits your mailbox
  • Press 9, then * to re-enter system
  • Press 9, then 0 to return to auto attendant
  • Press 9, then 9 (again), to exit system completely and hang up

NOTE: Messages will automatically be marked for erasure when you listen to the entire message. If you listen to the entire message and want to save it, press "7" at any time before proceeding to the next message. If you hang up, without pressing 9, 9, system may fail to delete and/or save some or all of the messages marked.


Troubleshooting/Reprogramming Telephone
  • Telephones are automatically programmed to forward to your virtual line and/or to voicemail if you are on the phone or away from your desk. If for some reason you are experiencing problems with call forwarding (i.e., phone is ringing busy or not going into voicemail), please follow the steps below. (*If you still experience problems, contact the Director at ext. 8131.)

  • *2 Forward All: Forward all calls to another extension or to voicemail, dial *2 then enter the extension where you wish your phone to be forwarded. Example: To forward your line to voicemail dial *2 then 3000. Press #2 to Cancel Forward All. (Forward all is used when you will be out of the office for an extended period or to forward calls to another location within the building.) When this feature is in use, a red light will appear on one of the gray buttons at the top of the telephone key pad.

  • *3 Forward Busy: Forward your line to another if your main extension is busy. (Note, this is automatically set to your virtual line, or for those who have a single line phone, it is set to voicemail.) Press #3 to cancel Forward Busy.

    If your phone is ringing busy, you should pick up the phone and press #3. Next, pick up the phone and press the virtual line button, take note of the number which appears in the display screen (generally a 3 or 4 digit number which includes a *, i.e., 3*06). Next, dial *3 and, after you hear a pause and 3 beeps, dial the virtual extension (i.e., 3*06).

  • *4 Forward Dans: Forward your line to another extension if you don’t answer (Note, this is automatically set to voicemail, ext. 3000) Press #4 to Cancel.

    If your phone is not forwarding to voicemail, press #4, hang up, then pick up your phone again and press *4, then 3000, to reset it. (You should do this on both your main line and virtual line - first and second gray buttons on the bottom row of your phone).
